About the Position

​

PFLAG National is seeking a seasoned, growth-minded, and nimble new Director of Administration and Finance. They will be the person who knows the ins and outs of the budget, cashflow, and projections. They will also have a clear vision for the expanding HR component of the organization. PFLAG National has been successful in growing its team over the last four years - this person will make sure that growth is well supported and able to thrive.

They are a member of the leadership team, report directly to the Executive Director, and work closely with the Board of Directors including the Treasurer, and the Board Audit Committee to fulfill the mission of PFLAG National.

PFLAG is the nation’s largest organization of LGBTQ+ people, parents, families, and allies working together to create an equitable and inclusive world. We are hundreds of thousands of people and hundreds of chapters from coast to coast who are leading with love to support families, educate allies, and advocate for just, equitable, and inclusive legislation and policies. Since our founding in 1973, PFLAG works every day to ensure LGBTQ+ people everywhere are safe, celebrated, empowered, and loved.

PFLAG National has over 325,000 members and supporters and hundreds of chapters in the United States. This vast grassroots network is cultivated, resourced, and serviced by the PFLAG National staff, Board of Directors, and Regional Directors Council. PFLAG is a union shop with a current approved staff level of 27. Half of the staff is fully remote and resides in ten different states and the District of Columbia.

Duties Include

​

The Director will have duties and responsibilities crossing many functions. Below is an outline of those duties and how they will occupy this new team member's time.

​

HR & Operations (45%)

Working with a team of staff and vendors, the Director will create an orderly and functional HR and Operations system that fosters the inclusive and collaborative culture of PFLAG National and creates a climate of understanding.

​

  • Develop and implement HR strategies, policies, and procedures to support the organization's mission and ensure compliance with employment laws and regulations.

  • Oversee the recruitment, selection, and onboarding processes to attract and retain qualified staff.

  • Provide guidance and support to managers and employees regarding HR policies, performance management, employee relations, and conflict resolution.

  • Develop and administer employee benefit programs and ensure proper administration of payroll for our staff members who reside in 10 states and the District of Columbia.

  • Ensure compliance with all payroll tax and reporting requirements.

  • Oversee the development of plans to meet the IT and information security needs of the organization.

  • Supervise IT staff and contractor in the delivery of services, providing training, maintaining, and acquiring of equipment.

  • Monitor risk management policies and procedures to ensure that organizational risks are minimized.

  • Advise the Executive Director and the Board on appropriate insurance coverage, and ensure that it is maintained and that applicable reports are filed.

  • Oversee the administrative functions of the organization, including facilities management, workplace safety, records management, and furnishings and equipment as well as compliance with leases, contracts, and financial commitments.

  • Monitor relevant federal, state, and local legislation (employment standards, registration for charitable solicitations, occupational health and safety, etc.) to ensure that PFLAG National is in compliance.

  • Maintain personnel records and ensure compliance with confidentiality requirements.

 

Finance (35%)

The Director is both a do-er, and a vision-keeper. They will guide the team, oversee all finance functions, and work to improve and expand the organization's abilities to report and track trends and needs in a timely and clear manner.

 

  • Generate and maintain timely and accurate financial statements and reports at both the organizational and program levels.

  • Monitor developments and ensure compliance with internal financial and accounting policies and procedures.

  • Prepare all supporting information for the annual audit and IRS Form 990, and coordinate audit and tax work with the Board Audit Committee and the external auditors.

  • Maintain accounting systems for cash management, accounts payable, accounts receivable, investments, and other balance sheet accounts.

  • Ensure timely reconciliation of revenue and expense accounts.

  • Prepare the annual budget and mid-year forecasts in consultation with the Executive Director, leadership team, the board Treasurer, and the Board Finance Committee.

  • Develop and plan budgets and create financial reports for funding institutions and other external parties.

  • Manage banking, credit card, and investment affairs, relationships and reconciliations.

  • Monitor Board-designated reserve funds and other restricted funds 

 

Management (20%)

A gifted manager of people, the Director will guide their team forward through mentorship and ongoing evaluations.

  • Supervise the work of three or more staff members in the department of Administration and Finance.

  • Coordinate with various consultants and staff members in other departments who perform administrative, or other tasks related to PFLAG National operations.

  • Other duties as assigned.

Skills and Qualifications

​

  • Bachelor’s degree or equivalent experience.

  • Seven years of progressively responsible finance experience in a nonprofit setting.

  • Solid knowledge of nonprofit accounting standards and experience in all accounting operations.

  • Thorough understanding of, respect for, and adherence to professional and financial ethics.

  • Excellent interpersonal, analytical, organizational, and management skills.

  • Excellent oral and written communication skills.

  • 3+ years experience in having directly supervised staff.

  • Experience in managing consultants, external advisors or vendors.

  • Strong applied computer skills, with solid understanding of nonprofit financial software. Currently we use Quickbooks, Salesforce, Bill.com and ADP for HR purposes.

  • Knowledge of LGBTQ+ issues, DEIA (Diversity, Equity, Inclusion, Access) practices, and civil rights as a whole, or a desire to learn and gain knowledge in these areas.

  • Enthusiastic support of PFLAG’s strategic vision, mission, and goals.
